Compliance with laws, regulations and internal rules is a top priority at TAKENAKA Europe GmbH. We can only protect our company, our employees and our business partners if we act in compliance with the law and with integrity.

The EU Whistleblower Directive has prompted us to set up an internal whistleblower system for our employees. Our whistleblower system consists of an online reporting channel through which our employees and business partners can report information anonymously and confidentially if they to like to. The whistleblowing system also includes a telephone hotline.

To this end, we have commissioned the compliance service provider Hinweisgeberexperte.de to act as our company's external compliance officer with immediate effect. All employees are obliged to report specific indications of possible breaches of rules in our company to the external compliance officer via our new whistleblower system. The external compliance officer treats all reports confidentially and examines each case individually.

It requires the attention and willingness of everyone to point out specific indications of rule violations by employees. These can be reported confidentially to the whistleblower system - at any time and in any language (German, English, Polish, Slovakian, Czech and Hungarian). This includes, for example, breaches of our compliance guidelines or antitrust law, corruption, human rights violations, theft, discrimination or bullying.


Only notes on violations of the rules

If your concern is a complaint or if business partners are affected, please contact your direct superior. These issues are not managed by the external compliance officer.

We also expressly point out that information should not be given lightly. We also aks for your understanding that deliberately false reports are prohibited. Our whistleblowing system, serves to ensure our internal compliance and should be understood excluisively in this sense.


Protection for all involved


The whistleblower system guarantees the greatest possible protection for whistleblowers and victims. An investigation is only initiated after careful examination of the information and if there are concrete indications of a violation of the rules. Information is handled in a fair and confidential procress. Discrimination, intimidation or hostility that occurs as a result of a report to the whistleblowing system will be investigated and punished according tot he same process. 


Submitting information – but correctly!

After receiving the information, the external compliance officer processes it in accordance with all necessary procedural principles (e.g. confidentiality, protection of whistleblowers). In order to process cases and, if necessary, initiate appropriate investigative measures, dialogue with the whistleblowers often necessary. Therefore, it is impotant that the information is formulated as concretely as possible. It is helpful if you consider the five questions when making report: 

  • Who? - Who is it about? Who is affected?    
  • What? - What has happened?  Description of the facts.
  • When? - When was the incident? 
  • How? - How often did it happen?    
  • Where? - Where did the incident take place?

The informant should make sure that the descriptions can also be understood by people who are not experts in the field. For this purpose, it is helpful if they are available for further questions. If they are willing to do so, but want to remain anonymous towards the external compliance officer, the whistleblowers can use the anonymous reporting channels. 

In addition to the external compliance officer, departments of our company (e.g. management, HR department) may also be involved in the processing of reports. Upon receipt of a substantiated report, the company normally commissions an investigative body to conduct the necessary internal investigation (e.g. special security audits). The external compliance officer also works with the management to clarify the matter and initiates measures where necessary.
